Careful manual redaction runs at about 15 pages an hour at a loaded officer cost of roughly £25/hour — a 180-page case is around 12 hours, or about £300 of officer time. AI-assisted redaction (a paid credits add-on where enabled) is aimed at saving that time on larger cases.

Your annual subscription covers unlimited redaction and eDiscovery for your council's own information rights casework: Subject Access Requests, Freedom of Information and Environmental Information Regulations requests, and related data rights work.
Fair use means the service is for your council's own requests, handled by your own officers. It is not for processing other organisations' cases, reselling access, or bulk work outside normal casework.
We have set the limit high enough that ordinary council use will never reach it. If your usage is consistently well above typical casework, we will get in touch to agree a plan that suits your volumes. We will always talk to you before making any change.
Common questions
Who makes the redaction decisions?
Your officers do. GovRedact is a manual redaction tool: caseworkers select the text to redact, choose the exemption code, and record the reason. Bundle generation is locked until every document has been reviewed and signed off by a named officer. This is enforced by design, not just policy.
Can we use GovRedact for more than SARs and FOIs?
Yes. GovRedact removes personal data from any document, not only SAR, FOI and EIR disclosures. Councils use it to anonymise planning applications, grant records, committee and meeting papers, and other documents before they are shared or published. The workflow and the pricing are the same.
Is there AI-assisted detection available?
AI-assisted detection is available only to organisations where it has been explicitly enabled. It proposes candidate redactions for officer review; officers still make every final decision. Organisations without the feature continue to use the manual redaction workflow.
Where is our data stored?
Documents are stored and managed in Microsoft Azure UK regions. The optional AI-assisted processing step uses Anthropic in the United States under the UK International Data Transfer Addendum, with zero data retention. This is not UK-only processing; the DPA discloses the transfer.
Can we redact PDFs and attachments, not just emails?
Yes. Accepted uploads include PST, MSG, EML, PDF, DOCX, DOC, PNG, JPG/JPEG, BMP, static WebP, and TIFF. Images support 100 MiB, messages 250 MiB, PDF/DOCX up to 1 GiB, .doc up to 250 MB — save as .docx for files up to 1 GB — and PST up to 25 GiB. PDF redaction removes underlying text, and still-image regions are rendered as verified opaque pixels with metadata removed. Animated images and HEIC/HEIF require conversion first.
We are on Microsoft 365 Business Premium. Can we still use it?
Yes. Business Premium councils can search and redact email content. Searching Teams messages, SharePoint files and OneDrive requires an E3 or E5 licence; for a single large case a one-month licence step-up unlocks full search, and we will guide you through it.
How do we handle very large cases with thousands of documents?
The review interface includes bulk decision tools, filter and sort controls, and the redact-across-case feature — which lets you apply a single redaction to every document containing that text. This significantly reduces the time needed for large cases where the same names, references, or phrases recur throughout.
Is GovRedact on the G-Cloud Digital Marketplace?
Procurement routes depend on the current framework and supplier listing. Contact us for the applicable service identifier and framework evidence before relying on a direct-award route.
What happens to our data after a case is closed?
Raw uploads: 30 days after upload-batch creation. Case content and bundles: 90 days after the first authenticated officer download. Audit and authentication events: seven years. Anonymised case shell retained.
Can we use our existing Microsoft Entra ID (Azure AD) accounts?
Yes. GovRedact integrates directly with Microsoft Entra ID via OIDC. Staff sign in with their existing council Microsoft accounts. No separate password or user management needed.
